AirTime is EventsAir’s flagship gathering for forward-thinking event professionals eager to stay ahead of the curve. It’s where big ideas meet bold execution. Each year, it brings together a global community of planners, partners, and product specialists to explore the trends shaping our industry and the technology helping us rise to meet them. 

In 2025, AirTime went further than ever before, bringing together more than 350 event professionals across three continents. 

Our team journeyed across North America, held meaningful conversations with our customers in Brussels, and wrapped up under sunny skies in Melbourne. At every stop, we connected with planners navigating new pressures, shared their stories, and showcased the innovations they helped us bring to life. 

But above all, it reaffirmed our mission: to help event planners streamline complexity, unlock productivity, and scale standout experiences with confidence.

From hands-on learning to powerful conversations, AirTime reminded us why this industry is like no other. Every destination brought its own energy, but a few consistent themes made AirTime 2025 unforgettable.

A first look at what’s next for EventsAir 

One of the biggest highlights this year? Sharing the future of the platform with our community. 

At each event, we unveiled new features, showcased what’s coming in the next wave of product innovation, and offered a deeper look into how AI, automation, and smarter workflows are shaping the EventsAir roadmap.

Immersive venues that sparked creativity 

We met in places built for imagination, from the bold design of the nHow Brussels Bloom Hotel, to the stunning views at Metropolis Events in Melbourne (yes, the blue skies were real).  

Each space set the stage for idea-sharing, problem-solving, and the kind of human connection that no platform alone can deliver. 

Conversations that cut to the heart of planning 

It’s no secret: the event industry is evolving fast.   

At every stop, we heard stories of compressed timelines, shifting priorities and attendees who want more for less. And still… planners show up, innovate, and deliver.  

Whether it was shrinking lead times, rising CPI, or evolving audience expectations, our panels dove deep into what’s driving change and how planners are adapting. 

Customers shared how they’re repurposing platform features in creative ways, redesigning event workflows to save time, and building hybrid strategies that extend engagement long after the venue empties. 

Moments that reminded us why events matter 

More than ever, planners are focused on year-round value. We explored strategies for ongoing content monetization, smarter integrations, and the power of AI to drive productivity and personalization.  

The takeaway? Innovation isn’t just nice to have; it’s essential to doing more with less. 

Experiences that brought people together 

Yes, AirTime is about ideas, but it’s also about connection. 

We carved out moments for planners to pause, laugh, share stories, and spark new relationships. From beer and waffles in Brussels to relaxing massages, manicures, and good vibes in Melbourne, we made space for planners to connect. And of course, we can’t forget that spine-tingling evening at the Melbourne Gaol. Let’s just say… some of us are still sleeping with the lights on. 

These experiences were crafted with intent: to foster community, spark conversation, and celebrate the energy, creativity, and humanity of this incredible industry. 

While connection was at the heart of each event, we also had big news to share – especially when it came to how the platform is evolving. Let’s take a closer look at what’s new (and what’s next) for EventsAir. 

2025 product showcase: A platform built for modern planners 

One of the most exciting parts of AirTime 2025 was showing just how far the EventsAir platform has come in the last year and where it’s headed next. 

This year’s updates were focused on three key goals: streamlining complexity, giving planners back more time, and unlocking deeper event impact.  

Alongside our major feature releases, we also rolled out improvements across accessibility, verification, app performance, payment flexibility and smart integrations – making EventsAir even more powerful, intuitive, and scalable.

Modern Website Builder: More control, less effort 

Your event website isn’t just a registration tool, it’s your brand’s first impression. Our Modern Website Builder makes it easier than ever to design stunning, accessible event pages without touching code. 

Drag-and-drop layouts, built-in accessibility tools, animations and smart previews make for faster launches and better attendee experiences. 

Comprehensive Import Tool: Set up events at scale 

Designed for planners managing high-volume data, our upgraded import tool helps streamline event setup with bulk uploads, smart validation, and customizable templates. 

With templates tailored to each event’s configuration and requirements, this tool ensures cleaner data and fewer manual errors, while saving hours on repetitive admin. 

Registration Recovery: Convert more with smarter re-engagement 

This powerful new feature helps planners reconnect with attendees who started registering but didn’t finish. With automated follow-ups, segment insights, and visual drop-off analytics, Registration Recovery ensures fewer missed opportunities.  

The result? Higher attendance, stronger ROI, and zero guesswork about where conversions are being lost. 

EventsAir Pay: Instant reconciliation and greater payment flexibility 

Managing event payments should be seamless. Not a source of stress. Our updated EventsAir Pay Stripe ecosystem introduces real-time reconciliation, dramatically reducing manual admin.  

With dynamic payment options like Klarna, attendees can choose how and when to pay, while organizers gain instant visibility into outstanding balances, refunds and financial status, all from one dashboard. 

Of course, innovation doesn’t stop at feature releases. At AirTime, we also looked ahead –particularly at how AI is beginning to transform how planners work, think, and create.

Every innovation we build starts with listening to the ideas, frustrations, and aspirations of planners.  

We’re investing in updates that not only modernize the platform, but meaningfully transform the way event planners work day to day. Here’s a preview of what’s on the way: 

  • A next-gen registration journey: A refreshed, accessible design will make registration journeys more intuitive and engaging across devices. Expect simplified flows, improved screen reader support, and seamless tablet responsiveness. 
  • The app experience attendees deserve: We’re rebuilding the foundation of the Attendee App for speed, stability, and smarter communication. From a new messaging inbox and notification center to built-in analytics and a cleaner interface, this update puts engagement at your fingertips. 
  • Frictionless abstract management: Our upgraded abstract workflow introduces faster performance, intelligent reviewer tools, and AI-powered submission support – making it easier than ever to manage quality content and complex author data. 
  • Real-time visibility, your way: Soon, you’ll be able to create and share customizable, widget-based dashboards. Choose what data matters most – like registration stats, app usage, or session engagement – and build views that keep your team aligned and informed in real time. 

AI and the future of event planning 

This year, we also leaned into a big theme: AI for meaningful transformation.   

For EventsAir, it’s not a trend, it’s a toolkit. One we’re building intentionally, transparently, and in partnership with planners. 

This direction didn’t emerge in isolation. It was shaped by deep research into the forces currently reshaping our industry: lower budgets and rising costs, ongoing staff shortages and skill gaps, and growing pressure to deliver bigger results with fewer resources. These aren’t just challenges we’ve observed, they’re signals that demand action and innovation.  

At AirTime, we unpacked our approach: AI isn’t here to replace expertise, it’s here to amplify it. From cutting down repetitive tasks to uncovering insights faster, we’re embedding AI across the platform to support smarter, more streamlined planning. 

Already live: Comms Coach 

Our built-in AI writing assistant is helping planners write better, faster, and with confidence. Whether you’re crafting welcome emails, session reminders or post-event recaps, Comms Coach uses event data and proven structures to deliver on-brand, high-impact content in seconds. Bonus: It supports multi-language output for global events. 

What’s next for AI in EventsAir 

For attendees: Instant support, personalized experiences 

Attendees ask a lot of questions. What time is registration? Where’s lunch? Which session should I attend next?  

Imagine every attendee having a smart companion that can answer questions, surface helpful content, and build a tailored agenda based on interests. We’re working on tools to make that a reality.  

From concierge-style support to dynamic networking suggestions, the future attendee experience will be more interactive, responsive and self-directed than ever before. 

For planners: Data insights, without the digging 

Event data is powerful, but only if you can use it. We’re developing planning assistants that help interpret analytics, answer natural-language queries like “how did this year compare to last?”, and even suggest optimizations.  

This AI partner will be embedded across the platform, helping you unlock smarter decisions with less effort.
