Delivering a First-Time Planner's Best Conference

The High Temperature Plasma Diagnostics Conference is a specialist scientific gathering that brings together researchers to present and discuss advances in plasma diagnostics. In 2026, the event landed at MIT, where their Senior Research Scientist, Johan Frenje, was set to take on the role of lead organizer for the very first time.

"This is the first time I'm organizing a conference, and I didn't know what to expect in almost all aspects of the event" - Johan Frenje, Senior Research Scientist Head, High-energy Density Physics Division, MIT.  

MIT needed a platform that could carry the full weight of the event - abstract collection, registration and payment, a public-facing website, and on-site attendee experience - without requiring a systems expert overnight.  

On the recommendation of colleagues who had used EventsAir for the SOFI 2025 conference, MIT selected EventsAir as the platform, with Digital Motion engaged as the hands-on delivery partner to guide setup, configuration, and day-to-day support.

The Challenge

Running a scientific conference of this scale for the first time raised a set of interlocking challenges for the MIT team:

  • A first-time organizer, a high-stakes event. With no personal benchmark for what “good” looked like, they needed a platform and partner they could lean on for judgment calls, not just software.
  • A complex program to manage. The conference needed to support roughly 380 attendees, 330 poster submissions, and 30 invited talks - a submission and scheduling load that had to stay organized and easy for both organizers and attendees to navigate.
  • An open question on attendee technology. MIT initially questioned whether the conference needed a dedicated attendee app at all, wary of adding complexity for uncertain benefit.
  • The temptation to over-build. With EventsAir capable of a highly sophisticated configuration, the real risk was building more than a first-time organizer could comfortably manage - scope needed to be deliberately controlled.
  • International payment friction. A meaningful share of European attendees could not be processed through standard online payment, requiring a manual, high-touch invoicing workaround.
  • An abstract process with hidden friction. The submission workflow required both a web form and a separate PDF upload - a dual-submission design that, in hindsight, added confusion for authors.

"I was extremely intimidated in the beginning, because I simply didn't know what to expect. I had to make decisions on things I didn't quite understand, and I didn't even understand the language being used to describe them. For those first few months, I often felt: do I really have to make a decision on this?" Johan mentioned.

The Solution

Digital Motion and EventsAir worked as an extension of MIT's team rather than as a vendor at arm's length. Two decisions shaped the approach from the outset: keep the build deliberately lean, and stay close enough to MIT's day-to-day questions to answer them fast.

A scope built for clarity, not complexity

Rather than defaulting to the most feature-rich configuration available, Digital Motion helped MIT choose a leaner build - one that covered everything the conference needed while remaining something a first-time organizer could understand and manage with confidence.

The EventsAir platform, end to end

  • Abstract portal - managed all poster and talk submissions with keyword-based tagging, supporting the conference's full program of 330 posters and 30 invited talks.
  • Registration site - handled attendee registration and online payment processing, backed by manual invoicing for roughly 20-30 European attendees who needed an alternative payment path.
  • Conference website - served as the public hub for the agenda, travel information, sponsor recognition, and general conference details.
  • Attendee app - built and deployed for the first time for this conference, giving attendees the full agenda for poster and invited-talk sessions alongside sponsor visibility.
  • Automated confirmation emails - issued through the platform for both abstract submissions and registrations, keeping communication consistent without manual follow-up.

"I wanted it simple, because that would allow me to easily understand what we were doing. I want to make it nimble, and easily understandable - especially for me - and that's exactly what we did." - Johan explained.

Throughout planning, MIT repeatedly pointed to the responsiveness of the Digital Motion team. With many unexpected changes that inevitably occur with events like this, MIT called out how reassured they were that both the team and the platform were there and worked when they needed it.  

The Results

The High Temperature Plasma Diagnostics Conference came together as a major success. Around 380 attendees took part, and feedback on the event was overwhelmingly positive.

  • MIT credited Digital Motion's guidance and rapid responsiveness as essential to pulling off the conference - particularly significant given it was his first time organizing an event of this kind.
  • The attendee app, used for the first time at this conference, performed well enough that Princeton - confirmed to host the conference in two years - has already committed to using an app of its own, a new standard set directly by this event.
  • Team responsiveness was the standout theme in feedback, including praise for how easy EventsAir was to navigate as a platform, and how supportive and hands on the Digital Motion team was.

MIT expressed high satisfaction and offered unprompted gratitude for the support it received, indicating the would re-engage Digital Motion and EventsAir for future conferences.

"I think we set a new standard here. Princeton is organizing the conference two years from now, and they're already planning to use EventsAir." - Johan exclaimed.  

For a first-time conference organizer facing a program with hundreds of attendees, hundreds of posters, and dozens of invited talks, the combination of the EventsAir platform and Digital Motion's hands-on support turned an intimidating undertaking into a confident success - and set a bar high enough that the next host is already following suit.
